A practical restocking checklist for your shop

A restocking list is easier to manage when it starts with what is actually on your shelves. Before browsing wholesale offers, take a stock count, look at recent sales and separate urgent purchases from items you are only considering. Merkato Pro can help you turn that list into a reviewed order.

Count usable stock, not just boxes

Record the quantity of each product that is ready to sell. Keep damaged items, customer returns and stock reserved for someone else separate from the available count. Use consistent product names and units so a pack is not mistaken for a single piece.

For products with several variants, count each model, size or color separately when customers choose between them. A full shelf of one variant does not solve a shortage of another.

Use recent sales as a starting point

Look at how many units you sold over a period that reflects normal trading for your shop. Note any unusual event, promotion or temporary closure that made that period different. Your own sales records provide a more useful starting point than copying another shop's quantities.

As a simple example, if an item usually sells three units a day and you plan for seven days, that is 21 units of expected demand. With eight usable units on hand, the gap is 13 units before allowing for delivery timing or a buffer. This is an illustration, not a forecast or an automatic recommendation from Merkato Pro.

Check timing before deciding quantities

Consider when you will next be able to order and when the goods can arrive. Ask about delivery or pickup arrangements for the actual order. Keep a buffer only where it makes sense for your shop, taking storage space, product condition and demand into account.

Separate your list into essentials that are running low, routine replacements and small trials of unfamiliar products. This makes it easier to review the cart if you need to reduce or postpone part of an order.

Build the order in Merkato Pro

Search for each item, check the current supplier offers and confirm the unit and minimum quantity. Review the delivery fee or available pickup option alongside the product price. If a minimum order is larger than your planned quantity, pause and decide whether the extra stock is useful.

Before confirming, compare the cart with your original list. Check for duplicate items, mistaken variants and quantities left over from a previous browsing session. Add accurate address details and useful order notes where needed.

Close the loop when stock arrives

Match the received items against the order record. Check quantities and product condition, then update your shop's stock count. Record discrepancies while the details are fresh and contact customer service when you need help with an order or return request.

Use your Merkato Pro order history as a purchase record. Combine it with your own sales and stock records when making the next list: past purchases show what you bought, but they do not by themselves show what remains on the shelf. A short, regular review makes the next restocking decision clearer.
